Client Confidentiality

Confidentiality is a foundational operating principle of Hafen Private—across communications, logistics, and provider coordination.

1. Discretion by design

We coordinate services with a privacy-first approach: limited disclosures, trusted partners, and careful operational planning.

We implement discretion through practical controls such as reduced visibility scheduling, compartmentalized coordination, and limited identifiers where feasible.

Where requested, we can align coordination to designated assistants, legal representatives, or medical teams to reduce the number of direct contact points.

2. Staff and partner standards

We work to ensure that team members and partners involved in coordination understand and respect confidentiality expectations.

Where feasible, we impose confidentiality expectations as part of engagement and limit access to only those parties required to deliver the requested service.

We continuously aim to reduce exposure by limiting internal distribution of sensitive itinerary details and by avoiding unnecessary duplication of client records.

3. Communications and contact preferences

We can adapt communication channels and contact preferences to reduce exposure (for example, preferred times, designated contacts, minimal identifiers, or communication via a representative).

You are responsible for maintaining the security of your own email account, phone device, and messaging channels; we will follow your instructions but cannot control third-party channel security.

If you believe a communication channel has been compromised, notify us promptly so we can adjust coordination and reduce risk.

4. Permitted disclosures

To coordinate services, certain disclosures may be necessary (for example, to airlines, hotels, security providers, or medical facilities).

When disclosures are required, we aim to share only what is necessary to complete the arrangement and to align disclosures with your instructions and consent where applicable.

5. Security incidents

If we become aware of a material security incident affecting the confidentiality of client data held within our systems, we will take reasonable steps to investigate, mitigate, and notify affected clients where appropriate and required by applicable law.

6. Legal requests and disclosures required by law

In limited cases, we may be required to disclose information in response to lawful requests by competent authorities, court orders, or legal obligations.

Where permitted, we will take reasonable steps to notify the affected client and to limit the scope of disclosure to what is legally required.
